Copilot or Claude Team for finance and accounting work?

Published 31 October 2026

Short answer. Choose by where your company’s documents, mail and numbers live. If they live in Microsoft 365, and you want the assistant inside Word, Excel, Outlook and Teams, choose Microsoft Copilot with the add-on licence. If they live in Google Workspace, Slack or systems you connect yourself, or the work is analysis across several sources, choose Claude Team. If your numbers are spread across spreadsheets nobody can trace, choose neither yet: put the data in order first.

Microsoft Copilot, until recently Microsoft 365 Copilot, is Microsoft’s AI assistant for Microsoft 365 (Microsoft Learn). Claude Team is Anthropic’s paid plan for companies that use Claude (Claude Help Center). This page compares them on what matters for bookkeeping, month-end and reporting work, and ends with a verdict for each situation. How to set either one up is in Set up Copilot or Claude Team without an IT department.

First, check which Copilot you have

Many Microsoft 365 plans include Copilot Chat. Without the Copilot add-on licence, Copilot Chat works mainly on web data and on the content a user pastes, uploads or has open. With the add-on, Copilot also answers from the company’s emails, files, meetings and chats through Microsoft Graph (Microsoft Learn). Microsoft Graph is the layer in Microsoft 365 that connects a person’s mail, files, calendar and chats.

This page compares Claude Team with Copilot with the add-on licence. Compared with Copilot Chat alone, the question is a different one.

What each one can reach

Microsoft Copilot Claude Team
Documents and mail Everything in Microsoft 365 the user can at least view, through Microsoft Graph: mail, files, calendar, chats and meetings (Microsoft Learn) What you connect. Connectors are ready-made connections to Google Drive, Gmail, Google Calendar, GitHub, Microsoft 365 and Slack (Claude Help Center). The Microsoft 365 connector searches SharePoint, OneDrive, Outlook and Teams (Claude Help Center)
Other systems Copilot connectors bring data from outside Microsoft 365 into Copilot, either indexed into Microsoft Graph or fetched live (Microsoft Learn) Custom connectors to any MCP server you or a supplier runs (Claude Help Center). An MCP server is a program that gives an AI assistant a defined way to read your data and, where you allow it, act in your systems (What is an MCP server, and how is it used with Claude Team?)
Whose access The user’s own Microsoft 365 permissions Each user signs in to each connector, so Claude sees only what that user may see, unless a connector uses one shared key (Claude Help Center)
Where you use it Inside Word, Excel, PowerPoint, Outlook, Teams and the Copilot app In Claude on the web, desktop and mobile, and in the Claude for Excel add-in

Both respect the user’s existing access. That has a consequence: a file shared too widely in SharePoint or Google Drive becomes something the assistant can find and quote. Microsoft tells companies to check their permissions for this reason (Microsoft Learn). Check who can open what before you turn either one on.

Working in Excel

Microsoft Copilot Claude Team
In Excel Copilot in Excel analyses data, finds patterns, writes formulas and creates charts (Microsoft Learn) The Claude for Excel add-in answers questions about the open workbook, changes assumptions while it keeps the formula links, finds errors, and builds models (Claude docs)

Both work inside the workbook. Whichever you choose, the person who owns the numbers checks the formulas before a figure leaves the company.

What happens to your data

Microsoft Copilot Claude Team
Training on your data Prompts, responses and data from Microsoft Graph are not used to train the underlying models (Microsoft Learn) Inputs and outputs are not used for training by default. If a user sends feedback with the thumbs up or down button, Anthropic may use that conversation; an Owner can turn the button off (Anthropic Privacy Center)
Who controls the data Stored and processed under the company’s existing Microsoft 365 agreement (Microsoft Learn) The company is the controller and Anthropic the processor (Anthropic Privacy Center)
How long it is kept With the company’s other Microsoft 365 content; an admin can set retention policies for Copilot chats in Microsoft Purview (Microsoft Learn) Chats stay until a user deletes them; deleted chats leave Anthropic’s systems within 30 days (Anthropic Privacy Center). A company-wide retention period is an Enterprise feature (Anthropic Privacy Center)
Where it is processed For users in the EU, traffic stays within the EU Data Boundary (Microsoft Learn) Data is stored in the US; processing may run in the US, Europe, Asia or Australia (Anthropic Privacy Center)

For a company in the EU, the last row is often the deciding one. Read both vendors’ terms with whoever advises you on GDPR. This is a summary, not legal advice.

Who controls it

Microsoft Copilot Claude Team
Where it is managed Under the Microsoft 365 controls the company already has. The add-on includes SharePoint Advanced Management, which helps find overshared sites, and works with Microsoft Purview, which labels sensitive data and can review prompts and responses (Microsoft Learn) In Claude’s organisation settings: single sign-on, roles, spend limits, and which connectors the company allows (Claude Help Center; Set up single sign-on)
Connections to other systems A Microsoft 365 admin sets up and manages Copilot connectors (Microsoft Learn) Only an Owner can add a connector for the company; each user then connects with their own sign-in (Claude Help Center)
Records for an auditor Admins can search stored Copilot interactions with Content search or Microsoft Purview (Microsoft Learn) Audit logs, automatic user provisioning (SCIM) and the Compliance API come with the Enterprise plan, not Team (Claude Help Center)

If you need audit logs of what each person did in the assistant, Claude Team is not enough on its own; Claude Enterprise or Copilot gives you that.

Connecting the accounting system

Neither assistant reaches your accounting system by itself. Someone sets up a connection, and both offer one:

Microsoft Copilot Claude Team
The route A Copilot connector, or an agent built in Copilot Studio, Microsoft’s tool for building agents (Microsoft Learn) A custom connector to an MCP server that the accounting system’s supplier runs, or that is built for you (Claude Help Center)
Business Central Business Central has its own MCP server, and Copilot Studio agents can use it (Microsoft Learn) The same Business Central MCP server also works with Claude (Microsoft Learn)
What to watch Federated Copilot connectors read data only; Microsoft’s documentation says write actions arrive from October 2026, so check what your connector can do (Microsoft Learn) Claude connects to the MCP server from Anthropic’s cloud, so the server must be reachable from the internet (Claude Help Center)

With either one, start with a connection that can only read. Business Central’s default MCP configuration reads and changes nothing (Microsoft Learn). Which limits a connection needs before it may write is in What are guardrails for an AI agent, and who enforces them?

When you want agents later

Both have a route to agents. Copilot has agents inside Microsoft 365 and agents built in Copilot Studio (Microsoft Learn). Claude Team includes projects, Claude Code and Cowork (Claude Help Center). An admin can also let Copilot use Anthropic’s models, so the choice of assistant does not shut out the other vendor’s models. Microsoft notes that Anthropic’s models in Copilot are currently outside the EU Data Boundary (Microsoft Learn).

An assistant helps each person with their own work. An agent that does a job across systems, follows the company’s rules and has its work signed off by the operator is a different road: agentic knowledge workers built for your own jobs, on your own data. What decides whether that road works is the data foundation under it, not which assistant your people use. The three roads are explained in What belongs in an executive AI strategy.

Which one fits your company

Your situation Our verdict
Your documents, mail and meetings live in Microsoft 365. The work is drafting, summarising and analysing in Word, Excel and Outlook. You want data processed in the EU and the controls you already have. Microsoft Copilot with the add-on licence. Check SharePoint permissions first. If they are in order, you can turn it on and start without help from anyone.
Your documents live in Google Workspace, Slack or several systems. The work is analysis across sources, long documents and spreadsheet models, and you want to connect your own data through MCP servers. Claude Team. Check that data stored in the US is acceptable to you, and move to Claude Enterprise if you need audit logs or a company-wide retention period.
Microsoft 365 holds your mail and documents, but a few people build models and analyses across systems. Both. Copilot for everyone in Microsoft 365, Claude Team for the few. Claude can read Microsoft 365 through its connector, so files need not be copied between the two.
Your numbers live in spreadsheets nobody can trace, the same customer appears twice, and every answer starts with an export. Neither yet. Either assistant answers from the same messy data, with confidence. Put the data in order first: Get your data in order before you buy another AI tool.

Gathena sets up both, and most of the agentic knowledge workers we build run on Claude. That is why this page cites each vendor’s own documentation for every row, so you can check it.

Checked against the vendors’ documentation on 31 October 2026.
